How to Use Certificates & Renewals

What are Certificates?


By using certificates on eloomi Infinite, you can certify your employees on various skills. Once an employee completes a playlist or a course with a certificate enabled, it will provide a digital certificate that is available for both the employee and the administrator!


You can access certificates by navigating to Admin > Learning > Playlists/Courses/Events > Add playlist/course/event. Once done, give your playlist, course, or event a name and then click on the three dots in the top-right corner of the screen, after that click Settings to access the settings menu.

From here, you can enable certificates and renewals for certificates:


Renewals


With renewals, you are able to set an expiry date for the certificate.


To do this, simply navigate back to the settings menu as prescribed in the previous section and then toggle the option Require users to renew certification:

Here you will see the different options for customization:

  1. Expires Every - This is where you can dictate how often the certificate needs to be renewed. You have options for days, weeks, months, and years.

  2. When Will Renewal Be Available? - This drop down will provide you with three options:

    1. Always - Renewal will always be available, before and after the expiration of the Certification.

    2. Ahead of expiry - Renewal will be available before the date of expiry, but not after.

    3. After expiry - Renewal will be available after the date of expiry, but not before.

!!! Keep in mind that if the renewal is set to Always, it will always be available for renewal. This means that after completion, it will still appear on your learning dashboard as available to take/not started. !!!

Additionally, if you choose Ahead of expiry, you will be provided an option of Renewal Time Window. This option is only available if you choose Ahead of expiry.

The Renewal Time Window lets you choose how far ahead the renewal will be offered to the user. In here, you also have the different options for days, weeks, months, and years:

Once you are done setting up your certificate, you will see the amount of time that the certificate is valid for. This will take effect once the user has completed all the modules on the playlist or once they complete the course.


Reporting


To document certification status, you can find the digital certificates by navigating to: Reports > Playlists/Courses/Events then choose the desired playlist and select the Focus mode > Certifications:

To see the certification history for a single user, click on the three dots to the right of the user's name on the list then click See certificate history:

Once done, a new window will pop up showing the date of issue, the date of expiry, and finally the certification status (green checkmark):

The example above shows that the certificate was issued on 20 June 2023 and expires on 20 June 2024. The green checkmark also indicates that the certificate is valid.

This reporting section has so far covered how to use the functionality as an admin. However, the user can access the same information by navigating to Reports > For You and selecting the Playlists, Courses, or Events tab. Once there, they will be able to select Focus mode > Certifications in order to see their certification history.


Downloading a certificate


Both users and administrators will also find a download button next to the certification stamp (see the above section "Reporting") and can start downloading a PDF document with basic information about the certification.

Clicking download will generate a PDF document containing the following information:

  • Issued

  • Expires

  • ID (playlist or course ID)

  • Name of the certificate holder

  • Company Logo if this has been uploaded to the platform

Administrators can add or customize the certificate by navigating to Settings > Certifications and have the following options:

  • Toggle user job title of user on/off

  • Change brand color and text color

  • Add company name

  • Add custom text

The customized text and changes done by the administrator will be generic and apply to all downloaded certificates.

Below is an example of a downloaded PDF document.


Custom Language and Text options


You can now also change the language of your Certification. Navigating to Admin > Settings > Certificates, you will see the option to change the Certificates language.

On a Course, Playlist, or Event with a certificate, you are now also able to add custom text to the certificate. You can do so by navigating to Admin > Learning > Edit the course > Settings.
