1. System emails to admins only 👤

  • Welcome to eloomi

As an admin, you receive an email after creating your platform. It contains your platform URL and confirms your platform creation.

Note: during your first 14-days on your eloomi Infinite platform, you receive a series of onboarding emails including tips and tricks to help you getting the most out of eloomi from the start.


2. System emails to admins and learners 👥

  • Welcome to (platform URL)

Learners receive an email once you invite them to your platform. It invites learners to activate their account by clicking on a button and setting their password. The activation link expires after 30 days.

👉 Note: in case your learners miss to activate their accounts, you need to re-invite them in your platform. Learners will then receive an email with a new activation link.

  • Forgot your password for (platform URL)

In case people forget their password and click on Forgot password?, they receive an email including a button to reset and choose a new password. The link expires after 24 hours.

👉 Note: in case your learners miss to use the link within 24 hours, they will need to request another link by clicking on Forgot password? again.



3. Learning emails to people

· You have new learning waiting for you: (course title)

Once you assign new content with no specific deadline to your learners, they receive an email that informs them about the new course title. A button will directly lead learners to their platform to take the new course.

· You were assigned a course with a deadline: (course title)

Your learners receive this message when they are assigned a course that has a deadline. The email contains the date by when the user is expected to finish the course as well as the “Go to your course” button.

· Time to press Play on your new playlist!

This email informs the learners of an assigned playlist. They will receive the email regardless of whether the learners need to complete it by a certain date or whenever, and whether the playlist is required or not.

· New content recommendations for you

Based on newest available courses, your learners receive an email with content recommendations including the title, cover image, deadline, and duration of a course every first Wednesday of the month. If you set a course as required will also be shown in the email.

The email recommends the first three unfinished courses that are assigned to a user. Courses are prioritised as follows:

  • courses with a deadline, and firstly those with the nearest deadline

  • courses that are marked as required

  • trending courses (the course with the highest overall completion rate)

👉 Note: Emails are being sent only to people who have notification switch turned on in the user profile setting. The email will not be sent if the user already received a deadline reminder for a specific course.


4. Upcoming and passed deadlines

· Upcoming deadlines

To help your learners finish course in time, they receive an email informing them about upcoming deadlines if:

  • there is a deadline 2 days from now

  • the deadline is today

· Passed deadlines

  • the deadline was within the last week. The learner receives a daily reminder for a week past the deadline.

That way, your learners will not miss out on mandatory trainings and complete training in time.

👉 Note: learners receive just one reminder email per day that summarizes deadlines.


5. Event emails to learners

· You were assigned to a new event: (event name)!

The email notifies learners of an upcoming event and invites them to sign up for it. The event may contain multiple sessions so the learner are redirected to the eloomi page to select one. The same is received when the manager or admin enrolls the user right away.

· Confirmed! Your sign-up for the event (event name)

When a user signs up for an event session they get this confirmation with the event details such as the name of the event, the name of the session, the date, and the location or link to the conference tool. In addition they receive an e-mail with .ics invite which allows to RSVP and book a timeslot in the calendar.

· You’ve canceled your participation for the event (event name)

Sometimes it happens that a user can’t attend the event they signed up for and they cancel their participation. This message is being sent to the user to confirm the cancellation.

👉 Note: When a user decides to change sessions, they get two emails: one that confirms the cancellation of the initial session and the other one that confirms the new sign-up.

· Upcoming events

Once events or webinars are created and assigned, they will receive emails about:

  • The event is 3 and 1 days away

  • The event schedule has changed

  • An event was assigned to you

With these emails, your learners will always be in the loop regarding events/webinars and any changes made to them.


6. Certificate and Renewal emails to learners

· Your certificate renewal is now open!

The email notifies learners that they can now renew their certificate. The email will include the expiration date and validity period for the certificate along with a direct link to the content which is up for renewal.

· Your certificate is about to expire - 7 days left!

The email reminds learners their course access will expire in 7 days. The email will contain the exact expiration date, a direct link to the content to complete before expiration, and is sent only if the certificate has not yet been renewed.

· Your certificate has expired!

The email informs learners their course certificate has expired. The email will include the exact expiration date, a direct link to the content to gain access again, and is sent only if the certificate has not yet been renewed.


7. Email settings ⚙️

Your learners can choose which email notifications they want to receive:

  • once they've been assigned new content

  • reminders about deadlines to not miss out on mandatory trainings

  • content suggestions based on newest available courses

To choose email preferences, navigate to your user profile on the top right corner and go to Settings > Mails.
