This article describes how to upload Certificates to your platform.

How to Enable External Certifications


To allow Employees to upload External Certifications, you must first enable this feature in the Admin settings. Navigate to Admin > Settings > Certificates > Settings and toggle on the option Allow users to submit external training.

Once toggled on, your Employees will be able to upload their own certificates!


How to Upload my own Certificate


As a User, you can upload External Certificates by going to My Development > Learning activities. If there are any Learning Rules set up in the platform, you must navigate to Certifications by clicking the dropdown in the top-left corner and select Certifications.

If no Learning Rules are set up, you will automatically land on Certifications.

Here, you will see an overview of all Certifications in your name including Certificates achieved in-platform and any External Certificates you have uploaded.

The overview shows the Certificate Name as well as the Expiry date and Status.

Clicking Upload Certificate in the top-right corner will bring up this menu:

When uploading an External Certificate, it is required to upload a file as well as provide a Title, Issue date, Expiry date, and an Issuing institution. When you choose the Expiry date, you also have the option to have the certificate never expire. Optionally, you can provide a Certificate ID and a Description.

Once filled in, click Save. This will upload the Certificate to the people account.


Reporting Areas


You can access Certification reporting by navigating to Reports > Courses / Events / Learning Plans. From here, you are able to Edit and Upload Certificates. For demonstration purposes, we will be looking at the Course reporting page.

Here, you must navigate to and click the Certificate icon next to the Download button. This will bring up the following menu:

The Certification reporting page shows a full overview of all Certificates in the platform including both Internal and External Certificates.

It will provide details of the Name of the Certificate, if the Certificate is Renewable, how many people have the Certificate, and the Completion rate of the Course from which the Certificate is triggered.

For External Certificates, the number of Certificates will always be 1 and the Completion rate will always be 100%.

Clicking the Name of an External Certificate will open a pop-up with more details of the Certificate as well as allow the Admin to download the Certificate.

Clicking the Name of an Internal Certificate will open its respective Reporting page with a list of the assigned Users.

This list will show the Names of assigned Users along with information on how they were enrolled to the Course, as well as the Expiry date/Deadline of the Certificate, and the Status of the Certificate.

Clicking the three dots (...) in the far right side of the page when hovering over any of the rows will bring up a Show History button. Here, you will see the Date of issue as well as Expiry along with a Download button for the Certificate.

Clicking to Upload a Certificate will bring the same customization menu as described for when Users do this exercise as illustrated in the first section of this article.
