Course Reporting

This article covers the reporting aspects for Courses.

Where can I find Course reporting?


You can find Course reporting via Reports > Courses. Clicking it will bring you to this page:

Here, you can immediately see:

  1. Total Courses

    1. How many courses are assigned to people on the platform

  2. Average courses per user

    1. The average amount of course per user

  3. Views this month

    1. How many courses have been viewed by the company this month

  4. Total views

    1. How many courses have been viewed by the company overall.

  5. Total Courses (graph)

    1. The total courses on the platform over the 12 months. Scrolling over the dots will provide additional insight/the exact number.

  6. Monthly views (graph)

    1. Monthly views YTD; this breaks down the amount of views the courses had per month over 12 months.

Further down, we can see the full list of Courses:

In the Course list you will find the following columns:

  1. Title

    1. Title of the Course

  2. Assigned

    1. How many people the Course is assigned to

  3. Completed

    1. The % of people assigned who completed the Course

  4. Views

    1. How many views the Course has

  5. Certification

    1. If the Course has a Certification or not

Additionally, there is the option to Search for Courses as well as Download a full Course report to Excel. You can also See or edit Certifications as well as filter based on Hierarchy or Standard Groups allowing you to customize your Report to show only Courses relevant to the Group(s) you are looking to receive reporting data on.

IMPORTANT! In the downloaded Excel Report, the time will be displayed in UTC format. This ensures standardized time representation, maintaining accuracy and consistency for a seamless understanding of the data.


Individual Course Reporting


Clicking any of the Courses in the Course list will bring you to the Individual reporting page for the specific Course, rather than a full Course overview.

Here, you will see a breakdown similar to the previous page, with the addition of a couple of areas:

  1. Assigned People

    1. How many people are Assigned

  2. People in progress

    1. How many people are In progress

  3. People completed

    1. The number of people who have Completed the Course

  4. Completion

    1. The % of people who have Completed the Course

  5. Activity

    1. Devices - Shows the type of device the learning was completed on in a graph

    2. Views - Shows the views that the Course has over 12 months

  6. Quiz & Knowledge Tests

    1. Avg score on first attempt - Shows the average score that the User achieves on their first attempt on either Quizzes and/or Knowledge tests

    2. Avg time to completion - Shows the average time that a User takes to complete the Quiz/Knowledge test.

    3. Avg attempts until completion - Shows the average amount of attempts it takes for a User to complete the Quiz/Knowledge test.

    4. People completed - Shows the % of people who completed this as well as the amount of people completed vs the amount assigned.

User Overview


The User Overview list shows who is assigned to the Course. Similarly to the full Course Overview list, there is an option to Search for Users as well as Download the Course report to Excel. You can also filter based on Hierarchy or Standard Groups allowing you to customize your view to show only Users relevant to the Group(s) you are looking to see reporting data on. Finally, you can change the Focus mode to focus the reporting data on either:

  1. Learning (Focus on all Learning data)

  2. Certifications (Focuses on Issued certificates)

  3. Quiz & Knowledge (Focuses on Quiz data)

Clicking on any of the User names will bring you to a reporting page for that user. This page will show reporting data for all Courses, Learning Plans, and Events that a User is assigned to.

Here, you will see the following data:

  1. Completed Courses

    1. The amount of Courses Completed vs the Amount Assigned.

  2. Required Completion

    1. The number of Required Courses that are Completed.

  3. Optional Completion

    1. The number of Optional Courses that are Completed.

  4. Time Spent

    1. Time Spent on Completed Courses overall.

  5. Monthly Views

    1. Amount of Courses viewed over 12 months.

  6. Courses (Graph)

    1. This graph depicts the number of Courses Completed (Green), In Progress (Yellow), and Not Started (Grey).

  7. Courses (Assigned)

    1. This list shows all Courses assigned to the User. Clicking any of the Courses will bring you back to the Course Reporting Overview for that Course.

Similar to before, the columns are all labeled:

  1. Title

    1. The Title/name of the Course

  2. Status

    1. The Status of the Course

  3. Deadline

    1. If the Course has a Deadline or not

  4. Required

    1. If the Course is Required to be completed or not

Also, there is the ability to Search, Download a report, filter, and change the Focus mode from either:

  1. Learning (Focus on all Learning data)

  2. Certifications (Focuses on issued Certificates)


Skills


At the bottom of the User Reporting page, there is the Skills area.


Here, you can see the Skills that the respective User either Wants, Has, or is already associated with a Business Title. The Skills area is broken down into a few columns:

  1. Skill

    1. Name of Skill

  2. Status

    1. Status of the Skill

  3. Courses

    1. How many Courses have this Skill assigned

  4. Completion %

    1. Completion % of the Courses that has the Skill that the User wants

Additionally, you can Sort and Filter by:

  1. Sort

    1. Skill

    2. Courses

    3. Completion %

  2. Filter

    1. Type

      1. Hard

      2. Soft

      3. Certificate

    2. User Relationship

      1. Via Business Title

      2. I have

      3. I want


Reporting settings


You as an Admin have the option to decide if Inactive Users should be included in Reporting. By navigating to Admin > Settings > Reporting, you can enable the toggle Include inactive users in statistics. This will show both Active and Inactive Users in Reporting both in the platform as well as in downloaded Excel Reports.

If the the toggle is OFF, this will exclude Inactive Users from Reporting in most areas of the platform.

In the settings page Reporting, you also have the option to decide whether to keep learning records when Users are removed from a Group.

By default, when a User is assigned learning via a Group, and they are removed from that Group, the User will lose access and reporting data regarding all assigned Learning items from that Group.

With the setting Keep Learning Records when user is removed from a Group, you have the option to change the default logic and enable Learning records to follow the User, regardless of their Group.

Clicking the drop-down will show you the following options:

  1. Only completed learning

    1. Will keep Learning records for only Completed learning items. Learning items Not started andIn-progress will drop off and not be visible in reporting.

  2. Both started and completed learning

    1. Learning items In-progress and Completed will stay with the User.

  3. All learning ever assigned

    1. All learning items ever assigned, as in Not started, In-progress, and Completed, will stay with the User.

  4. No records are kept

    1. Default setting - no records are kept when a User is removed from a Group.

This setting only applies to scenarios where a User is removed from a Group.

IMPORTANT! This setting only applies from the moment it is set and/or changed, but it will not apply retrospectively.
