How to Use Categories & Topics

Learn how to use categories & topics to structure learning and assign content easily.

What are Categories & Topics?


Categories & Topics allow you to structure Learning easily, organize your Content, and bundle Courses together. With Categories & Topics, Admins can easily add, edit, and remove the prebuilt topic catalog to match your people’s needs and preferences, making your platform look organized and engaging.

Categories are used for broader themes (e.g., Security) and function as a header, while Topics are associated to a Category and are applied as tags to Content.

For example:

Security (=Category)

> IT (=Topic)

> Safety (=Topic)

> Passwords (=Topic)


Creating Categories & Topics in-platform


To create a new Category or Topic, first navigate to Admin > Categories & Topics. Here, you can navigate between Categories and Topics in the centered toggle in the top bar. Click New category/topic in the top-right corner. A Category could for example be Customer Service and a Topic could be Communication.

When creating new Categories or Topics, you have the option to set a Language for it following the available platform language options.

If you wish to offer multilingual Categories & Topics, you can add more supported Languages for both Categories and Topics by clicking an existing Category or Topic to edit it. Here, you can click the Language in the top-right corner to open a dropdown menu:

If no Language has been added yet, the dropdown will be named Set language and function as a Language selection menu, prompting the Admin to choose the default Language. When a Language has been selected as the default, the dropdown consists of three action options:

  • Add Language allows you to select new Languages by opening a Language selection menu, making it easy to expand multilingual support.

  • Set Default Language allows you to choose a primary Language from the Languages already added.

  • Remove Language allows you to delete a Language from the existing list. You will not be able to remove the Default language.


Creating Categories & Topics via Import


To create a new Category or Topic via Import, first navigate to Admin > Categories & Topics. Here, you can click the Import data button next to the Filter.

Click +Create categories & topics and download the Import template. You must not change the format of the columns in the template as the format is crucial for the Import to work. Follow the Template Guide to fill in the template and finish by uploading the file.


How do I add Topics to Content?


After adding Categories & Topics you can start adding them to your Content. First, navigate to Admin > Learning > Courses/Events/Learning plans.

From here, there are two ways of adding Topics to existing Content in this menu:

  1. Navigate to the Content you want to tag with a specific Topic. Click on Edit course and then Add topics.

  2. You can also add Topics to existing Content by clicking the check box and clicking the Assign topics button.

When creating new Content, you can add Topics in the Content Overview page, where you can also manage the Cover image, Title and Settings.

After tagging your Content with a specific Topic, it will automatically be grouped into the Category that the Topic is part of.

Coming back to the example from above:

Security (=Category)

> IT (=Topic)

> Safety (=Topic)

> Passwords (=Topic)

If you tag Content with Safety, it will automatically be part of the Category Security.


Where can I find my Categories & Topics?


For a Learner to browse their Categories, they must navigate to the Learn tab and click on the Category they want to browse in the top of the page. This will allow them to see all Content tagged with all Topics residing under the chosen Category.

If the Learner wishes to see Content tagged with a specific Topic only, they can do so from the left side-bar by searching for the specific Topic.
