Admin Reports

This article describes the Admin Reports space and additionally explains the feature Scheduled Reports and how to use it.

Admin Reports


The Admin Reports space allows for Admins to group learning items and set up Admin Reports to either:

  1. Make a Report accessible to select Managers in the Teams & People Learning dashboard.

  2. Be configured as Scheduled Reports to be automatically shared with a defined set of recipients of their choosing. All types of learning items are available to be grouped and be sent to specific users daily, weekly, or monthly.


Creating an Admin Report


First, you must navigate to Admin > Settings > Reports.

Here, you will see the current existing Reports, as well as an option in the top right corner to Create Report.

First, you must fill in the following information:

  1. Report Title

    1. This field is Required

  2. Report Content

    1. Select the Content you wish to include in the Report

    2. All learning types are available including Courses, Events, Learning Plans and Checklists

  3. Who should have access to this Report?

    1. All Managers: The Report becomes available to all platform Managers under Teams & People > Learning.

    2. Specific Managers: Select the specific Managers who should be granted access to this Report under Teams & People > Learning.

Managing access to the Report also determines who will receive it as a Scheduled Report if this is enabled in the Report settings.

When clicking + Add Content, you will find an overview of all the platform Content.

In this menu, you can add Content to get reporting data from. You can select from Courses, Events, Learning Plans and Checklists. Select the Content you wish to get reporting data for, then click Add Learning in the top right corner.

Once the learning items are added, you must select the Manager(s) who should be granted access to this Report under Teams & People > Learning. An Admin Report will only grant the Manager(s) reporting visibility within the scope of the People they are associated with. There is no limit to the amount of Managers selected here.

IMPORTANT! The Admin Reports feature is directly linked to Manager association in the platform, meaning a Manager with access to an Admin Report will ONLY see reporting data from the Content selected in the respective Report for People they are either the Direct Manager, Group Manager or Hierarchy Manager of.

Finally, under Default columns, you must define which Data Columns Managers will see by Default when viewing the Admin Report under Teams & People > Learning.

You can define the preferred People Columns by clicking Edit people columns:

Similarly, you can define the preferred Group Columns by clicking Edit group columns:

IMPORTANT: Defining Default columns only applies to the Admin Reports accessible to Managers under Teams & People > Learning. Each Manager can change the Columns from there at their own discretion.

The Default column selection is not supported for Scheduled Reports.


Scheduled Reports


For the Admin Report to be sent to recipients as a Scheduled Report, the toggle Send report as an email must be toggled on. Toggling this on will allow you to schedule when the email containing the reporting data is sent.

The recipients of the Scheduled Report is defined by the selected Manager(s) who should have access to the Admin Report. A recipient of a Scheduled Report will only receive data for the People they are associated with. There is no limit to the amount of recipients.

IMPORTANT! The Scheduled Reports feature is directly linked to Manager association in the platform, meaning a recipient will ONLY receive a Report if they are noted as a Direct Manager, Group Manager or Hierarchy Manager for users assigned to the Content selected in the respective Report.

Here, you must define the frequency of which the Scheduled Report is sent.

You have the following options for email frequency:

  1. Daily

    1. The Report will be sent every day at the selected Time

  2. Weekly

    1. Select one or more weekdays for the Report to be sent at the selected Time

  3. Monthly

    1. Select a specific day of the month for the Report to be sent OR

    2. Specify a custom cadence such as "First Monday of the month" or "Second Friday of the month"

By default, the Report will be sent at the selected frequency for one year from the starting date.

Once the email frequency is set, you must select the Time of scheduling as well as set the Time zone in which the Scheduled Report is sent.

Finally, you have the option to provide an Email Title as well as an Email Description. This is not required.

The email body will always contain the following statement "Stay informed about overdue, expiring, and incomplete tasks so you can take action" followed by the Email Description if this is added.

Click the button Create report to finish setting up the Scheduled Report.


The Scheduled Report Excel file


All Scheduled Reports consist of three tabs: User Groups, Users and Info.

The first tab, User Groups, will illustrate Group data per learning item, and both Standard Groups and Hierarchy Groups are included.

A Scheduled Report will only include data for the People the recipient is associated with and the respective Groups of which the People are members of.

This means that if a Course is assigned to a User who is a member of three Groups, then the Report will display data for those three Groups.

The second tab, Users, will illustrate User completion per learning item.

This tab also includes columns for all platform Custom fields.

The third tab, Info, illustrates Report info including Calculated at (date of creation) as well as Calculated for (name of recipient).


Report Log


It is possible to follow up on Report deliveries as well as download each Report ever sent to a recipient. The Report Log can be found in Admin > Settings > Reports.

First, find the Report you wish to view the log for. Then click the three dots (...) and select View Log.

Here, you will find the Report delivery log where all Reports sent from the platform are listed along with the recipients as well as the date and time it was sent. Click the Download button to download the Report that was sent to the respective user.
