Exploring the new eloomi

You will be working with your dedicated Account Manager to get access to a demo or trial platform. This platform will allow you to explore the new eloomi Infinite. As an option, you will also get a preview of how your existing data in the old platform will look like in the new one.

In this article, you will find a comprehensive guide of what the upgrade process looks like and what you need to do pre- and post-upgrade.

Here's a quick overview of what a typical upgrade timeline looks like:

PLEASE NOTE: The exact time and effort needed for this process highly depends on your internal plans and aligning it with eloomi. During your discussions with your Account Manager or Customer Success Manager, they are able to advise you on this to ensure your process will go as seamless as possible.

Pre-migration To Do List

As you transition into your Infinite instance, there will be information you may no longer need or want revised. In some cases where there is no feature parity between the old and the new platform, those data will not be migrated.

When: A few days before migration

Tasks:

  1. Delete inactive users. If you need to keep a record if those users' report, download them beforehand.

  2. Deactivate all users. This should be done close to the "scheduled downtime".

  3. Delete/Archive retired modules and programs. Any module or program that is archived will not be migrated. If you want to keep a record of these archived modules, download them beforehand.

  4. Delete retired categories and subcategories. Note that we have renamed subcategories to "Topics" in Infinite.

  5. Deactivate email sending (under Admin > Settings > Company details). This will prevent any further notifications from being triggered for users, fx. automatic assignments or reminders.

  6. Create an internal communication plan. As there will be a time when your old and new platforms are inactive, ensure that all users transition smoothly into your new eloomi instance with a clear communication plan on what's going to happen when.

The day of migration

Together with your Customer Success Manager or Account Manager, you can plan when you want to migrate. It will take at least a day to create your new eloomi instance.

This is the time where both your old and new eloomi platforms are inactive. It is important to ensure all your users know about this scheduled downtime.

Important Note: A migration report is generated that outlines the data that has been migrated. In the unlikely case that there are migration errors, together with our Support team, we will work together to fix them. Fixing errors can take up to a few days so take this into consideration when planning your upgrade timeline.

Post-migration To Do List

Now you are ready to set up your new eloomi platform! Depending on how robust you want to relaunch your eloomi platform, you can either stick to the basics or start using the new features right away. Below we've outline the essential and optional tasks for relaunch.

When: Days after migration

Essential tasks:

  1. Create Custom User Fields. This is a new way to add supplemental user information relevant to your organization aside from the default user information in Infinite.

  2. Update existing users with more information. Once your Custom User Fields are set up, you can now repopulate these fields on the users profiles via the Excel upload or API.

  3. Set up groups manually or via rules. In case you have the API add-on, Groups can also be created and populated via the API.

  4. Create and assign new courses, playlists, or events. Get your users excited with the new platform. Create/Assign new learning to get them started with using Infinite.

  5. Update your platform branding. Ensure you have the right branding assets to get the best look and feel of your new Infinite platform.

Optional​ tasks:

  1. Configure Skills and Business Titles​. Our newest feature allows you to gain insights into the skills across your organization and deploy relevant training to upskill, develop, and engage employees. Harness the full potential of your talent pool and stay ahead of skill gaps with eloomi Infinite Skills.

  2. Set up technical integrations. If you purchased API, Native Integration or SSO, you need to configure this in your new elooomi.

  3. Import and assign content from the eloomi Content Store. With eloomi Infinite, you gain access to all the content you need to train and engage employees. Cover any topic with over 75,000 courses from leading industry providers: from HR compliance to personal development, diversity training, and cyber security.

Go-Live To Do List

Now that you are ready to roll out Infinite, it is important to manage the change internally and ensure all users are invited to the new platform.

Tasks:

  1. Create and roll out an internal communication plan. It is a must to communicate the change of platform to your users. You may want to create new user guides as needed. You may want to make an event out of it and get everybody excited. There are endless possibilities on how you can lead the change, just make sure it is well received by your users.

  2. Activate your users. The last step is to invite your users to your new eloomi platform.

NOTE: From the moment you migrate until your Go-Live date, you should anticipate that is the scheduled downtime. Your users will not have access to your old and new eloomi at this time. As best practice, you want this to be as short as possible, so planning ahead on the actions you need to take before go-live is essential.
